Privacy policy

Last updated 19 October 2026

EduFern is school management software. Schools use it to keep records of their students, families and staff. This policy explains what information EduFern holds, why, and how it is protected. Questions are welcome at hello@edufern.com.

  1. 1. Who is responsible for the data

Each school decides what it records about its own students, families and staff, and is responsible for that information. EduFern processes it on the school's behalf, only to provide the service the school has asked for. For the schools' own account (contact persons, billing details) EduFern is responsible.

  2. 2. What we hold

    • School details: names, branches, addresses, plan and billing records.
    • User accounts: name, e-mail, phone, role and sign-in history (time, device, approximate location from the IP address).
    • Records the school enters: admissions, guardians, attendance, leave, marks and report cards, fees and receipts, transport and payroll.
    • Documents the school uploads, such as photos and certificates.
  3. 3. How we use it

    • To run the features the school uses, for example sending a report card or a fee receipt to a family.
    • To send account e-mails: login details, password resets and sign-in codes.
    • To keep the service secure and to find and fix problems.
    • To bill the school for its subscription.
  4. 4. What we never do

    • We do not sell personal data or use it for advertising.
    • We do not send marketing e-mails to students, families or school staff.
    • We do not show one school's data to another school.
  5. 5. Who helps us

EduFern runs on Amazon Web Services (servers, storage and e-mail delivery). Online payments are handled by a payment provider: card and bank details go directly to the provider and are not stored by EduFern. These providers process data only to deliver their part of the service.

  6. 6. How we protect it

    • All traffic is encrypted (HTTPS). Uploaded files are kept in private storage.
    • Every request is checked against the school it belongs to, and against the person's role.
    • Passwords are stored only as secure hashes; administrators use two-step sign-in.
    • Each record keeps who created it and who last changed it.
  7. 7. How long we keep it

Data is kept while the school uses EduFern. When a school leaves, it can export its data, after which the school's data is deleted from EduFern. Billing records are kept as long as the law requires.

  8. 8. Your rights

Students, families and staff can ask their school to see, correct or delete their information; we help the school do so. Under India's Digital Personal Data Protection Act, 2023 and similar laws you may also contact us directly at hello@edufern.com.

  9. 9. Cookies

This website does not use advertising or tracking cookies. The EduFern app uses only what it needs to keep you signed in.

  10. 10. Changes

If this policy changes in a way that matters, schools are told by e-mail before the change applies.
